
Transnational Project Meetings
The three Transnational Project Meetings (TPMs) that make up Work Package 2 (WP2) are fundamental for ensuring the quality, coherence, and sustainability of the project. WP2 focuses on developing the managerial skills of project team members, enhancing the organizational capacity of partner institutions, and supporting the overall objective of fostering digital transformation through increased readiness, resilience, and capacity. Although the project uses digital tools for regular coordination, in-person meetings are considered essential to build team spirit, establish trust among partners, and align everyone on common goals. The TPMs provide structured moments for joint planning, analysis, decision-making, and evaluation, keeping the logical chain of the project intact.
The Kick-off Meeting, hosted by the Romanian school, lays the groundwork for the entire project. It includes setting up the management structure, distributing roles, confirming communication channels, and approving procedures for implementation, monitoring, and reporting. Deliverables include the project management plan, stage reports and committee structures, and meeting minutes.
The Mid-term TPM, coordinated by the Turkish school, focuses on progress validation. Partners present their activity and financial reports, assess feedback from participants, and prepare for the Multiplier Events. The meeting also includes updates on committees and any necessary changes to the project calendar. Deliverables include integrated progress reports and the meeting report.
The Final TPM, organized by the Greek school, evaluates the overall project outcomes. Based on survey data and impact assessments, partners will propose a sustainability strategy and validate final financial reports and conclusions.
First Transnational Project Meeting
Kick-off meeting
The Kick-off Meeting took place in Focsani from April 15 to 17, 2024. During this meeting, the project team established the foundation for successful implementation and coordination. They defined the project implementation and coordination plans, distributed tasks among partners, and developed strategies for quality evaluation of activities and deliverables. Risk management procedures were also introduced and addressed. Original mandate letters and Grant Agreements were exchanged between the coordinator and partner institutions, alongside financial arrangements. Working committees were confirmed with clear responsibilities, schedules, and specific working plans. Communication rules and channels were agreed upon to ensure transparency and effective collaboration. Procedures for collecting evidence, managing conflicts, and maintaining conduct standards were also established. These decisions ensured a strong start to the project, setting clear expectations and promoting cohesive teamwork among all partners

Second Transnational Project Meeting
Mid Term Evaluation
The Mid-term TPM took place in Istambul from November 25 to 27, 2024. During this meeting, partners validated their reports and reviewed progress against the official timeline. The implementation stage was analyzed, with feedback collected from students and teachers about prior mobilities. The team discussed communication and dissemination strategies, identifying gaps and planning website improvements to mitigate risks. Financial updates and preparation for the final report were addressed, alongside project management guidelines. The impact of the project was evaluated, considering its effect on participants, organizations, and wider target groups at local, national, and international levels. Proposals to improve the quality of learning activities were presented, focusing on data collection and adaptation of lesson plans. The group confirmed upcoming mobilities, arranged the Final TPM, and prepared for publishing intellectual outputs and organizing multiplier events. Closing remarks included schedule adjustments, task redistribution, and individual budget consultations. Updates to committees and quality assessments helped ensure smooth progress and alignment with project goals

Third Transnational Project Meeting
The final Transnational Project Meeting (TPM) of the Erasmus+ project Dig4AEdu was held in Rhodes, Greece, from 19 to 21 November 2025, hosted by the 4th General Lyceum of Rhodes with the participation of all project partners. The meeting served as the main coordination activity for concluding the project, completing outstanding deliverables and ensuring alignment of all documentation prior to the final submission.
Day 1 began with a comprehensive review of implementation progress. Partners presented updates regarding educational materials, the project website, the digital repository and dissemination activities. A systematic administrative and financial alignment followed, covering budgets, timesheets, mobility documentation and required supporting evidence. Significant time was dedicated to structuring the final report, defining responsibilities for each section and organising annexes. Partners collected and reviewed supporting documentation including attendance sheets, dissemination outputs, evaluation tools and mobility summaries. Discussions also addressed the project’s impact on participating schools and identified key lessons learned.
Day 2 included a planned cultural activity in the Medieval City of Rhodes, with visits to the Palace of the Grand Master, the Archaeological Museum, the Ottoman Library and a historical Muslim mosque. These visits provided additional material to support dissemination actions. The working session that followed focused on finalising the website and online repository, completing annexes to the final report (learning outcomes, mobility summaries and participant feedback) and jointly preparing the dissemination and impact sections. A detailed review of deadlines and pending tasks ensured clarity regarding responsibilities among partners. The day ended with a networking dinner, contributing to informal discussion and strengthening cooperation.
Day 3 centred on finalising the meeting minutes, identifying outstanding actions required for the final submission and conducting a comprehensive evaluation of project implementation. Certificates of participation were awarded, and partners attended a concluding session dedicated to long-term sustainability planning, including strategies for further use of the project results and potential future Erasmus+ collaborations. All relevant documentation was uploaded to the shared project repository to ensure completeness and consistency across partners.
The TPM fully met its objectives by consolidating deliverables, ensuring administrative and financial coherence and establishing a clear and agreed roadmap for the project’s completion.
